Tutorial: Customize Reminders, Thank Yous and Messages
Below is a quick tutorial on modifying your reminders, thank yous and messages. We've split up the instructions into two categories: one for if you are working on an unsent invite and the other for if you are working on a sent invite. In either case, the options to modify these communications to guests can be found by clicking the 'additional options' tab on your event management page.
Under the 'rsvp options' tab, you can view / edit the reminders and thank you notes sent to your guests as well set some other options.
By default, two reminder messages will be sent to guests:
- one will be sent by email 7 days before the event to guests who have not replied
- one will be sent by email 1 day before the event to those who RSVP Yes.
In addition, one thank you message will be sent to guests who RSVP'd Yes one day after the event.
Deleting default reminders or thank yous
If you do not want your guests to receive any of these messages, uncheck the option under the 'rsvp options' tab.
Modifying the default reminder or thank you message
- To edit a reminder/thank you (the content, subject of the email, send date, etc), click the "edit" link beside the message you would like to modify.
Example: Modifying a default reminder
- We are going to change the reminder that goes out 7-days before the event to those who have not yet replied. See the default message below.
- Let's change the date to be 2 weeks before the event as we need more time to plan our event. Also, we'd like to change the email subject to say "Reminder from Tania..." Then we'll add extra text to the default Don't forget to RSVP for message.
- Next, we preview by clicking the <preview> button. You can see our additional text italicized to differentiate it from the rest of the message.
- However, notice that the default message that came with the "Don't forget to RSVP for" message, says to RSVP by the event date but we would like to ask guests to RSVP by a week before the event. So, click the <back to edit> button and change the "Message" option from the template for "Don't forget to RSVP for" to "<Create Your Own>".
For sent invites, you can send either a private message to a guest or schedule/send a reminder, thank you note or message to all guests or a group of guests.
Sending a Private Message to a Guest
- To send a private message to a specific guest, go to your event management page and click the 'guest list' tab. Then click the "Private Message" field for that guest. This is also how you respond to a private message sent by a guest.
- Clicking the Private Message field for a guest will open the popup shown below. Enter your message and click the <email message> button to send a private message to that guest.
Scheduling and Sending Communication to a Group of Guests
- To view/edit/create reminders, thank yous and messages to your guests for a sent invite, you should go to your event management page and click the 'communications' tab. You may need to click the 'additional options', if it had not already been clicked.
- You can view all communications but can only edit/delete reminders or thank yous that have not yet been sent.
- When the message appears you can view it or click the <back to edit> button to edit.

- The communications tab also contains the options that allow you to create and send/schedule a communication. You can click on the <reminder> or <thank you> buttons to schedule a reminder / thank you to be sent to your guests. If you would like a message sent immediately, click on the <message> button.
- To create a reminder, message or thank you message to guests, click the desired button option. If it is a reminder or a thank you, you will be able to schedule the send date. Messages are sent immediately.
You will be able to send to guests based on their RSVP (Everyone, Yes RSVP, No RSVP, Maybe RSVP, Yes or Maybe RSVP, No Reply). Because we're all about options at pingg, you also have a choice of sending by Email or text message (SMS). Furthermore, you can edit the email subject for your communication if you decide to send by email. You also have a number of Message templates you can select depending on the type of communication that you are sending. In the photo below, I've clicked on the <thank you> button and the window below is the resulting popup.
- Once you are done editing the details of your communication and are satisfied with the preview, click the <confirm> button to save.
