eCards for Businesses - Administrator Help
We want to help your organization use pingg to its fullest! By clicking on the tabs below you can browse through information on implementing the eCards for Business service for your company. Please feel free to print these instructions.

Getting Started
There are two methods (detailed below) that you can use to implement pingg's eCards for Business service in your organization. In either case, you will designate a single person on your staff, such as a member of your HR team or office manager, as a "service administrator."
Method 1 - Centralized Create & Send
In this approach, a single administrator gathers and organizes all eCard recipients' names and email addresses from other staff. The administrator then adds the recipients' contact information to the chosen eCard design and sends the eCard.
One of the advantages of this method is it places the responsibility of creating and sending eCards in the hands of one employee and allows the rest of your staff to continue performing their normal duties. It also allows you to tightly control the eCard design by eliminating the possibility of staff choosing images from pingg's other galleries rather than those you have specifically chosen and/or customized. The administrator can also ensure that there is no recipient duplication, so that a single recipient does not receive 5 eCards from 5 different employees at the same organization.
The administrator also acts as a liaison between your organization and pingg support, should any technical or support issues arise.

Method 2 - Distributed Create & Send
The alternative to the centralized approach is to create and distribute a customized splash page to your entire staff. In this approach, each individual staff member can access the pingg application via your customized splash page and is then free to create and send eCards using the designs you have selected or created in advance. If you have a large organization, this method distributes the work of creating and sending eCards amongst many employees, rather than overwhelming one staff member with hundreds of eCards to create and send. You can also customize a splash page with a message to all employees, an excellent and stylish way of communicating your message to the whole organization.

Centralized Create & Send
In order to implement eCard's for Business using a Centralized Create & Send model, please review the following steps below:
- select or create eCard design(s)
- send pingg your logo
The pingg eCards for Business service offers you two options for selecting eCard designs at no extra cost. You can choose up to 10 eCards from our existing collection, or you can design up to 5 of your own eCards and provide them to us. Both of these options are explained further below.
We also offer premium design services where our design team will watermark up to 10 existing eCard designs with your logo ($299), or we can design up to 5 custom eCards for you from your specification ($995). If you are interested in these premium services, please contact us.
Use existing pingg eCard designs
You can choose up to 10 eCard designs from our existing eCard Gallery. Once you have selected your designs, email us the names of your selections with your confirmation number. We will then make these designs the default selections for your service.
Design your own eCards
Alternatively, you can create and upload your own eCard design(s) to our technical specification. The specifications are:
- Images should be submitted in JPG format
- Image orientation can be portrait or landscape
- Image size – 1575 x 2175 pixels or 2175 x 1575 pixels at 300ppi (pixels per inch)
- Image size should take into account a 50 pixel” area for the bleed – no important design elements (logos, text) should be placed within the bleed region otherwise they risk being cropped out
We have some Photoshop and .jpg templates to help you or your your designer design eCards to our specification. You can download them by clicking here.
Customize your eCard web page
Once you have chosen or created your eCard designs, you can customize your eCard web page further by choosing to add content to your eCard web page. On the eCard web page you can add:
- company logo (.jpg, .gif, or .png at 72 dpi; width: 40px up to 400px height: 40px up to 50px)
- an additional message for recipients, up to 2500 characters in length
- up to 10 web page links (URLs)
- one link to a youtube video
- a photo album of up to 10 photos
Send information to pingg
To complete your provisioning, please send us an email at ec4B@pingg.com with:
- your reference number
- your logo (specification above)
- a short message asking for us to complete your "Centralized Create & Send" account setup
and we will complete setting up your account which will allow you to complete the process and send customized ad-free eCards!
Distributed Create & Send
In order to implement eCard's for Business using a Distributed Create & Send model, please review the following steps below:
- select or create eCard design(s)
- customize your splash page
- send pingg your artwork and request provisioning
- notify your staff

Customize your splash page
The splash page is a web page that pingg hosts through which the administrator and employees gain access to the pingg application and the customized eCard designs you have created or chosen. Apart from its function as a portal to the pingg application, you can use the splash page as a customized space featuring your logo or other branding and a personalized message from you and/or your senior staff to your employees. The image below is an example of a typical splash page.
To customize your splash page with your logo or branding, you will need to provide us with an image of your logo/branding that meets our specifications. The specifications for your logo/branding image are:
- company logo (.jpg, .gif, or .png at 72 dpi; width: 40px up to 400px height: 40px up to 50px)
- splash page main image (.jpg, .gif, or .png at 72 dpi; width: 100px up to 950px, height: 100px up to 275px)
As well, to customize your splash page with a personal message you will need to provide us with the specific copy you wish to use. You can add one, two, or three bullet points to your splash page.
Send information to pingg
To complete your provisioning, please send us an email at ec4B@pingg.com with:
- your reference number
- your logo (specification above)
- your custom eCard designs or your selection of existing pingg eCard designs
- any splash page elements (detailed above)
- any custom eCard web page elements (detailed above)
- a short message asking for us to complete your "Distributed Create & Send" account setup
and we will complete setting up your account which will allow you to complete the process and send customized ad-free eCards!
Message to staff
To help you introduce the eCards for Business program to your staff, we have provided a sample message below. Please feel free to modify this message as you see fit to suit the program you have chosen and/or your workplace. You can then distribute it via email to your staff along with your customized splash page URL.
Sample Message
Dear Staff/Employee Name,
The holiday season is fast approaching, and if you're thinking about sending greeting cards to friends, clients and colleagues we have the perfect solution for you. This year we've teamed up with pingg.com, an online eCard service, to offer you a unique selection of customized, stylish eCard designs for your holiday greetings. Through pingg you can send your eCard by email, SMS (text), and you can even have pingg print and mail actual cards to your contacts.
Below you will find a link (URL) to our customized pingg splash page. The splash page is a portal to the pingg application featuring the designs we have chosen and customized. When you click on the "create eCard" button on the splash page, you will be taken directly to the gallery with our customized designs. All you have to do is select a design, give your card a name, add a personal message and a list of recipients with their contact info and you're ready to go. You'll find a comprehensive tutorial on creating eCards in pingg's help section, and if you have any other questions about creating and sending eCards please send them to me directly. If I don't know or can't find the answer I will contact pingg directly for assistance on your behalf.
Some things to keep in mind when creating your eCard:
If you are sending an eCard to a client, and you are not the only contact in our organization for that client, check to see if one of your colleagues is also planning on sending them an eCard. It might be preferable for only one contact per client to send the greeting on behalf of the department.
If you choose to use any of pingg's services that require payment (like sending a print eCard or sending via SMS) you will be responsible for the cost, as our agreement with pingg does not cover these fees.
Once you reach the pingg site via the splash page, it's possible to navigate away from the designs we have chosen and customized to other galleries on the pingg site. We strongly encourage you to select eCards from the designs we have chosen and customized, rather than other images available on the pingg site."

This will help you to respond to some of the questions your employees may have when creating and sending eCards. The next tab also contains links to pages that will be helpful to your employees when creating and sending eCards.
FAQ
How do I change my password?
You can change your password by selecting the 'account' tab near the upper right corner of most pages when logged in, then clicking on the 'Change Password' tab.
What if I forget my password?
Click the <login> button in the upper right corner on our main page, and click the "Forgot your password?" link. Alternatively, you can click here. Type in your email address and instructions will be sent to you by email. Occasionally our password help emails will arrive in junk mail or spam folders, so be sure to check if you haven't received the email within a few minutes.
Can we have multiple organizers or administrators for one eCard?
There is currently no specific feature that allows more than one person manage an event. One possible workaround is that you can set up an account under an email address to which you all have access and then create the event from within that account. Then you will all be able to manage events from under that account. In the "event details" tab you can specify all your names as the hosts and they will appear on the invitations.
We are constantly looking for ways to enhance our product so this is a feature we are looking into developing.
Can I update or edit my eCard after I send or publish?
Sure you can. Just login to your account, go to your 'dashboard' (that's the page with a list of your events and eCards) and then go to your event management page. In the 'event report' or 'eCard report' tab you will see an icon called "edit invite" or "edit eCard", depending on whether you are looking at an invite/eCard. Click the icon to be taken to a page where you can update the design. Please note that you may also click the 'current invite' or 'current eCard' tab (this only shows up after you send/publish your invite/eCard) on your event management page and then click the <edit invite> or <edit eCard> button.
How do I add recipients to my recipient list after sending or publishing?
To add guests to your guest list after sending, log into your account and then go to your 'dashboard' - that's the page with a list of your events and eCards. Click your event name to get to your event management page. By default, the event management page will have the 'event report' tab open. Click the "add guests" option. Add your guest information, then click <next step> and continue the steps to send your invite. The process is similar for eCards, except that the reporting tab on the eCard management page is labeled as the "report" tab and the option under the report tab is called "add contacts".
If you only want to edit guest information, then instead of clicking "add guests" or "add contacts", just click "edit guests" or "edit contacts" and this will take you to a page where you can edit your guests'/recipients' information and resend the invite to them.
I would like to change more than the font, background colour and text position of my invite or eCard design. Is this possible?
At this time you can only change the font, background colour and text position of some invite templates. However, we are currently working on a project that will completely rework the invite design process. It should address your concerns as the main aspect of it is that more customization features will be available to better engage the user. Some of these features include a choice of many more fonts, colours, templates, layouts, etc. Also users will be able to completely design & upload their own invite. This new invite design process should be available in the next few months.
Please note that this applies only to invite designs, you can edit other event details at any time.
I would like to make my eCard web page address easier for my recipients to remember. How do I customize my URL?
There are two things you can do to make your eCard web page address easier to remember. The first is to specify an Account URL in your account settings and the second is to specify an eCard web page URL for each invite/eCard that you send. For details on how to do this, please visit our Custom URLs help page.
I don't want recipients to know who else I sent eCards. How do I make my recipient list private? And how do I remove the Event Stream?
To make your recipient list private:
- log into your account,
- click to go to the 'dashboard',
- click your eCard name to go to your eCard management page,
- click the 'additional options' tab to show some more tabs (if it had not already been clicked),
- under the 'web page' tab, select the option "Recipient list is private"
The process to remove the Event Stream is similar, except that for the last step you would uncheck the option "Recipients can view Event Stream on web page".
How do I respond to a private message?
- log into pingg from the main page (www.pingg.com)
- click your eCard name to get to the management page
- ensure that the 'report' tab is open
- click the "private messages" option under the 'report' tab. You will be taken to a page with a list of private messages sent to you.
- click the <reply> button in the conversation window for the guest / recipient to whom you'd like to reply. A modal should pop up with a text area for you to enter your reply. Once you are done entering it, click the <email reply> button to send your reply.
How do I delete/edit the personalized email message?
You can edit your personalized email message from the "Confirm Your eCard" page which appears just before (re)sending your eCard. Usually users want to change/delete this message when they decide to send the eCard to other recipients. To do this, go to your eCard management page and:
- ensure that the 'report' tab is open
- click on the "resend invite" option
- Select the recipients/group of recipients to whom you would like to resend the eCard
- then click the <send> button.
- Click the <personalize email> button and
- remove/edit all text
- click <save> to save the changes to the personalized email message
- click the <send now> buttons
